Position Summary:
Knight Foundation seeks a detail-oriented problem solver with exceptional communication and organizational skills to serve as Administrative Coordinator for the foundation’s Office of Investments.
Responsibilities:
The successful candidate will be part of a small, high-caliber in-house investment team. Key responsibilities will include:
Administrative (60% of the time)
- Scheduling/Calendar Management: Manage CIO and Team calendars, coordinate with internal and external parties to schedule CIO and team meetings, support the planning and execution of events for the CIO, investment team, and – potentially, from time to time – the broader foundation;
- Travel/Expense Management: Assist with travel arrangements and expense reimbursement and tracking for investment team staff;
- Project Management: Assist with ad hoc projects and tasks as they arise, potentially in collaboration with other foundation departments.
- Office Management: Assist with physical office-related tasks, such as answering phones, ordering office supplies, maintaining kitchen, catering needs, welcoming guests, mailing/shipping.
Operational (40% of the time)
- Investment Process Support: Support the investment operations function with specific investment implementation tasks, including validation of payment information and initiation of investment processes in accordance with established policies and at the direction of the Director of Operations;
- Communication/Document Management: Manage investment office inbox to facilitate downstream investment processes and maintain investor records, ensuring compliance with the foundation’s records retention policies.
- Budget Management Assistance: Coordinate with the Director of Operations to track and maintain vendor contracts and Investment Team budget.
Things we look for in a successful candidate:
- Bachelor’s degree and some experience of team support within financial services or similar is highly desired;
- Excellent verbal, written, and interpersonal communications;
- Exceptional organizational skills, capable of prioritizing and multi-tasking with a no-task-is-too-small attitude;
- Flexible, adaptable, and unflappable to changing priorities, unexpected challenges and evolving needs;
- Ability to manage complexity while maintaining meticulous attention to details;
- Integrity and discretion in handling confidential information;
- Initiative and the ability to authorize yourself to solve problems and anticipate the needs of the CIO and broader investment office;
- Ability to use critical thinking and offer insights and recommendations that further the work of the foundation’s investment function;
- Proficiency in Office Software (Microsoft Office Suite); familiarity with document, workflow, and CRM systems a plus.
This is an in-office position based in Arlington, Virginia. Candidates should be local or willing to relocate to the DC area.
