Knight Foundation seeks a detail-oriented problem solver with exceptional organizational skills to serve as the executive assistant to the foundation’s VP/Arts. This role requires administrative excellence and the ability to usher projects for a range of work associated with supporting the foundation’s Arts program. It also requires organizational and interpersonal savvy, sound judgment and good decision making. This role is ideal for a detail-oriented problem solver who excels in a fast-past and collaborative environment and manages multiple priorities with ease.

Key responsibilities: 

  • Manage the VP’s calendar, travel arrangements, and correspondence, ensuring alignment with organizational priorities.
  • Act as the VP’s gatekeeper by screening requests for relevancy, urgency and buffering from unnecessary distractions.
  • Support department grantmaking process flows and deadlines.
  • Plan and manage key projects in collaboration with cross functional teams. 
  • Support the planning and execution of the program’s meetings and events.
  • Work closely with the VP and the entire team to manage and maintain the foundation’s Arts budget.
  • Draft, proofread, and distribute correspondence, reports, and meeting materials for the VP.
  • Manage and process the vendor contracts, payments and expense reimbursements.
  • Master knowledge of foundation and department operations, policies and procedures.
  • Coordinate and organize online archives, files, meeting minutes, agendas, databases and productivity tools with internal and external partners.
  • Support complex projects with research and information management while adhering to demanding time frames.

  • Ability to travel a few times a year.
