Executive Assistant – Arts (Miami, Fla.)

Knight Foundation is seeking an experienced executive assistant to join our Arts team. This non-exempt position reports to our Vice President/Arts.

It involves:

  • Engaging in the work of the department by supporting the grant process;

  • Coordinating and tracking the work of the Arts staff with internal and external partners through scheduling, agendas, filing and meeting notes;

  • Organizing large and small events; coordinating attendance, timelines, and budgets;

  • Arranging travel and tracking expenses for the VP and other staff, including KF guests for convenings; 

  • Managing a large budget which includes submitting vendor check requests, updating budget projections monthly, and partnering with the VP in the development of the department’s annual budget;

  • Driving cross-team projects to deadline using Basecamp or other productivity software; and

  • Playing a role on the broader support staff team by rotating on shared duties.

The right candidate has experience working in a high-performing, deadline-oriented environment as an administrative assistant to an executive. S/he is a proven clear thinker with superb judgment, who is well organized and solution oriented. S/he is detail oriented, efficient, a self-starter, able to accomplish a lot in a short period of time and works well with a team. S/he can write well, has strong analytical and research skills and strong interpersonal communications skills. S/he understands the importance of maintaining confidential information and is highly professional. S/he has the ability to travel a few times a year.
